As we continue to grow, we’re looking for a highly organised and detail-focused Billing Administrator reporting into our Billing Manager. This role is key to ensuring timely and accurate billing, with a specific emphasis on damage and loss charge processing.
The Billing Administrator is responsible for managing the end-to-end invoicing process for high-value and high-volume customer accounts, including regular hire, off-hire, and non-standard charges. A key part of this role involves investigating, validating, and invoicing for damaged, lost, or stolen equipment in accordance with hire contracts and customer SLAs.
Key Responsibilities
- Generate and issue accurate invoices and credit notes for all hire activities, including damage and loss charges
- Ensure damage and loss charges are at agreed rates and in-line with any special prices
- Investigate cases of damaged or missing equipment, liaising with branch teams to validate evidence and provide feedback/guidance where required
- Ensure that all damage/loss billing is clearly documented and communicated to customers with supporting detail
- Run daily loss/damage reports and maintain a centralised log of all damage/loss cases, tracking status, value, and resolution timelines
- Work closely with credit control and branches to resolve any disputes or queries around damage and loss
- Manage regular billing cycles for large B2B clients, including framework pricing, consolidated invoicing, and PO tracking
- Identify and escalate recurring issues (e.g., frequent loss from specific sites) to operations or commercial teams
- Support digital billing improvements including portal uploads, e-invoicing, and self-bill accounts
- Provide internal reporting and insights on damage/loss trends and outstanding invoice queries
- Work with the Billing Manager to identify root-cause issues and suggest process improvements to provide a better customer experience and help reduce queries/credits
- When it is considered necessary or appropriate by management you may be required to carry out other duties considered within your skillset and competence to assist the smooth running of the Billing Team
What We’re Looking For
- Previous experience in a billing, accounts receivable, or finance admin role (ideally in construction or hire sectors)
- Outstanding attention to detail and investigative mindset – confident dealing with supporting evidence and documentation
- Excellent administration and organisational skills with an inquisitive mindset and process driven
- Ability to prioritise workloads, work under pressure and to strict deadlines
- Good stakeholder management and the ability to adapt to change in a positive manner with experience of providing excellent customer service
- Competent with finance systems and Microsoft Excel (intermediate level i.e. VLOOKUP, pivot tables, etc.)
